DealCheck AI User Guide

Follow the steps in this article to create a new DealCheck, upload deal documents, review and resolve compliance findings, and use the analytics dashboard to monitor performance.

1. Welcome to DealCheck Ai

Create a New Deal

  1. Sign in to DealCheck AI.
  2. Select DealCheck from the navigation menu.
  3. Click New Deal Check.
  4. Select the dealership location, if prompted.
  5. Enter the customer’s first and last name.
  6. Enter either the Deal Number or Stock Number.
  7. Select any applicable deal exclusions, such as off-site delivery or lease buyout.
  8. Click Add.

Upload and Run Documents

  1. Drag and drop files, browse your computer, or upload a ZIP file.
  2. Confirm that all documents appear in the document list.
  3. Include the DealCheck Recap Sheet whenever possible.
  4. Click Run Check.
  5. Verify any information identified by the AI when prompted.

Use the Desktop Application

  1. Sign in to both the Desktop Application and web browser.
  2. To scan documents, select Upload, then Launch Scanner.
  3. Windows users can use the print driver and upload files by selecting Send to DealCheck AI as the printer.
  4. Confirm that the files appear in the Desktop Application.
  5. Select Create a Deal and enter the required information.
  6. Run the check from the application or review the deal in the web browser.

Add Files to an Existing Deal

  1. Add the new files to the Desktop Application.
  2. Select Upload to Folder.
  3. Choose the existing deal.
  4. Return to the web browser to review and resolve any findings.

2: Reviewing and Resolving DealCheck Results

Review the Deal Results

  1. Review the Deal Summary and confirm the transaction information is accurate.
  2. Check Issues Detected for items that require attention.
  3. Review Successful Checks to see which compliance checks passed.
  4. Check the Stips and Documents panels for missing or newly uploaded files.
  5. Select View Deal to search and review documents organized by category.

Review an Issue

  1. Hover over Analysis to see why the issue was flagged.
  2. Select the issue to review the AI’s explanation and supporting documents.
  3. Confirm whether the finding is accurate before resolving it.

Resolve an Issue

  1. Select Fix Issue.
  2. Choose the appropriate resolution:
    • Upload a new file to add a missing document.
    • Choose Existing File to use a document already in the DealCheck folder.
    • Replace Existing Pages to update selected pages of a document.
    • Override when the requirement does not apply.
  3. Review the selected document or explanation.
  4. Click Submit or Confirm.
  5. Verify that the issue moved to Issues Mitigated.

Report an AI Error

  1. Select Report AI Error when the AI made an incorrect determination.
  2. Explain what the AI identified incorrectly.
  3. Submit the report to ComplyAuto for review.

Complete the Deal

  1. Confirm that all issues have been resolved.
  2. Verify that the deal displays a green Passed Manually status.
  3. Generate either the Summary Report or Detailed Report.
  4. Print or save the report as a PDF.
  5. Download the organized Deal Jacket when needed.

3: Reports, Deal Management & Document Organization

Use the Activity Log

  1. Open the Activity Log to review the deal’s complete history.
  2. Add notes for other team members when needed.
  3. Switch between previous DealCheck runs to compare results.
  4. Review the timeline to see who completed each action and when it occurred.

Update Deal Information

  1. Review the information in the Deal Summary.
  2. Select Edit and Rerun Checks if any deal information is incorrect.
  3. Update the necessary information and save your changes.
  4. Rerun the DealCheck only when needed, since each rerun counts as an additional check.

Download the Organized Deal Jacket

  1. Select View Deal.
  2. Click Download PDF.
  3. Choose whether to compress the file.
  4. Confirm that the Deal Jacket includes:
    • A clickable table of contents
    • Categorized deal documents
    • Documents added to resolve issues
    • The DealCheck Compliance Report
  5. Save or upload the PDF to your dealership’s document management system.

Use the Document Manager

  1. Open the Document Manager to access stored deal documents.
  2. Search for documents or folders using the search bar.
  3. Use filters to narrow the results.
  4. Open an automatically created DealCheck folder to view original and added documents.
  5. Create additional folders to organize other records, including dead deals.

Find an Existing Deal

  1. Open the DealCheck Search page.
  2. Search using the customer’s name, Deal Number, or Stock Number.
  3. Select Advanced Filters to narrow results by:
    • User
    • Compliance issue
    • Missing stip
    • Deal status
    • Location
    • Date range
  4. Generate a Summary or Detailed Compliance Report directly from the search results when available.
  5. Delete duplicate DealChecks if you have the appropriate permission.

4: Reviewing Your Individual Analytics

Adjust the Dashboard View

  1. Open the Individual Analytics Dashboard.
  2. Select the dealership location you want to review, if applicable.
  3. Choose a reporting period:
    • Month-to-Date
    • Quarter-to-Date
    • Year-to-Date
    • Custom date range

Review Your Compliance Score

  1. Locate your Compliance Score.
  2. Select Learn More to see how points are calculated.
  3. Review the factors that affect your score, including:
    • Submitting clean deals
    • Resolving compliance issues
    • Reporting legitimate AI errors
  4. Remember that overrides do not earn points because they do not represent corrected issues.
  5. Submit AI Error reports only when the AI made an incorrect determination.

Review Performance Metrics

  1. Check your Compliance Ranking to compare your score with other users at your dealership.
  2. Review your Quality Ranking, which is based on the average number of issues found during the initial review.
  3. Review the dashboard widgets for:
    • Issues resolved versus overridden
    • Good or perfect deals
    • Total issues identified
    • Average issues per deal
    • Total DealChecks completed
  4. Compare your results with your dealership’s overall averages.
  5. Use the results to identify strengths and opportunities for improvement.

Review Potential Fines Avoided

  1. Locate the Potential Fines Avoided metric.
  2. Review the estimated value of penalties that may have been prevented by correcting compliance issues.
  3. Use this estimate to understand the potential financial impact of strong compliance practices.

5. Admin Analytics

Filter Account Analytics

  1. Open the Account Analytics Dashboard.
  2. Select the dealership location and reporting period.
  3. Use additional filters to review results by:
    • Sales Manager
    • Salesperson
    • Finance Manager
    • Individual employee

Configure Compliance Alerts

  1. Open the Compliance Alerts settings.
  2. Choose which compliance events should trigger an alert.
  3. Select the dealership locations to monitor.
  4. Choose the team members who should receive email notifications.
  5. Review alerts promptly to address compliance concerns before the deal is completed.

Review Team Performance

  1. Check the Location Compliance Ranking to compare dealership locations.
  2. Review the User Compliance Ranking to compare individual performance.
  3. Use Top Issue by Deal Runner to identify recurring issues for each employee.
  4. Review Most Common Issues to identify organization-wide trends.
  5. Use the results to guide coaching and process improvements.

Monitor Overrides and Deal Quality

  1. Review the Override Rate for each user or team.
  2. Investigate unusually high override rates.
  3. Restrict override permissions to designated users when necessary.
  4. Review each employee’s average number of issues found during the initial DealCheck.
  5. Select individual entries within a widget to view the related deals and resolution details.

Complete the Course

  1. Apply what you learned to create, review, resolve, and document DealChecks.
  2. Use the Individual and Account Analytics dashboards to monitor compliance performance.
  3. Refer to the DealCheck Knowledge Base or contact ComplyAuto Support when assistance is needed.
